2014 Convention Registration

We begin this page with general registration information that applies no matter how you register. Further down the page we tell you how to register by postal mail, on-line, or at the gate.

2014 Convention Registration Options & Fees

Registering early will save you money and get you through the gate faster, and allows us to do better planning for convention. Paying at the gate is our most expensive registration option. Convention is Thursday-Sunday, July 24-27 this year.

Includes optional The Hartness House Workshop registration.

Register online using any credit card or by e-check using PayPal. You do not need a PayPal account to do this, except if you choose to pay by e-check.

International Attendees, especially our many friends in Canada: PayPal will automatically do currency conversions, and you will be invoiced and pay in your local currency.

Register by Mail for Convention

The Hartness House Workshop requires a separate mail-in registration.

We encourage you to use online registration, it is faster and more efficient for both of us. We are happy to report that in 2013 we had less than 90 mail-in registrations, thank you for supporting our on-line registration program.

You can register by mail by downloading and printing our Mail-in Registration Form (PDF Format) and sending it with a check to the address on the form. We are no longer sending registration packets by mail, you must print out this form and mail it in yourself.

After you have printed out the registration form, mark the appropriate information on it and mail it with a check, for the full amount, payable to the Springfield Telescope Makers to: Stellafane, 60 Victoria Road, Sudbury, MA 01776. Everyone, except family members under 16 years of age accompanied by an adult, must pay to attend.

Absolutely no mail-in registrations will be processed after July 18th. All requests after that time must be handled when you arrive at the higher rates charged at the gate.

CONFIRMATIONS: We will NOT confirm registrations. You will only hear from us in the event that we are unable to fulfill your registration request. If you want a confirmation, we provide them with the on-line registration service above. Due to the low volume of mail-in registrations, your check may not be cashed before convention - please do not be concerned about this, if you mailed it to the right address, we have it and you will be on the gate list.

Register at the Gate when you Arrive

This is the most expensive option, so consider registering on-line or by mail. We accept cash or check drawn on a US Bank (no temporary checks - must have printed names) only at the gate, sorry No Credit Cards (No way to process them without cell service).

The gate operating hours are Friday 9:00 AM - 10:00 PM and after Saturday 7:00 AM

We encourage you to use online registration for The Hartness House Workshop, it is faster and more efficient for both of us. You can register for the convention at the same time if you wish.

Space is limited, and registration will be closed when these events are filled.
Walk-in registrations are not available for Hartness House Workshop Events.

Information, Rules and Regulations

Early Entry Permit – Thursday Night Observing!

Conventioneers who wish to enter the Stellafane East camping/convention site between 3 p.m. and 10 p.m. on Thursday may do so by purchasing an Early Entry Permit for $10 per person (please see below). This Early Entry Permit is only available through advanced registration! Stellafane proper (Breezy Hill, the Pink Clubhouse, the fields around the Pink Clubhouse and the Porter Turret telescope) will not be open to conventioneers until 9:00 a.m. on Friday.

There is no need to arrive early, there will be plenty of camping space for everyone who purchases an early entry permit. Please do not arrive before 3:00 PM, we need to keep the road clear of traffic for big trucks and deliveries.

Our food service vendor will be serving sandwiches, fries, burgers, hot dogs and the like on Thursday night. He also plans to serve breakfast on Friday.

If you are arriving on Thursday, please do not leave the Stellafane site before Friday noon -- the small, dirt entrance road could easily become gridlocked with the normal Friday morning arrivals. Thank you!

Admission/Entrance Policy

ENTRANCE POLICY: Anyone arriving after 10 p.m. on Friday will not be admitted unless they are pre-registered or have already checked in. If you plan to arrive between 10 p.m. Friday and 7 a.m. Saturday you MUST be pre-registered!

EARLY ENTRANCE POLICY: Please do not arrive before 3:00 pm on Thursday; We need to keep the road clear for deliveries and large RVs. There is no need to arrive early, there will be plenty of camping space for everyone who purchases an early entry permit.

Large Campers

Towed campers and RVs longer than 17 Feet when being driven (not after setup) require a special permit to attend the convention. The fee for the permit is $50, which includes the camping fee. If you require such a permit you must in advance - no drive-in admission at the gate without prior registration. Large campers are absolutely required to arrive, and be in place at the convention site, between Noon and 4 p.m. on Thursday and once parked, may not move until Sunday morning! Note that your permit will be noted on the gate list, you will not receive a paper or e-mail. Any questions, please e-mail the webmaster (link in the footer).

These special restrictions are necessary for the safety of our conventioneers - our roads are small and tight, and we cannot have large vehicles moving about once the site starts to fill up. Thanks for your understanding.
